Sales Co-Ordinator, Ireland

SALES CO-ORDINATOR: Responsibility for Irish Sale
Salary: €35,000 - €40,000 dependent on experience

Rubicon Heritage Services Ltd is an expanding commercial archaeology practice operating throughout Ireland and the UK.  In Ireland, Rubicon has bases in Dublin and Cork with extensive hybrid working introduced during the pandemic which is now considered the favoured option for the future of the company.  Rubicon is fully committed to existing markets and has recently created a focused Growth Strategy for further consolidation and expansion. 

We are currently experiencing rapid growth due to an increased demand for our services in sectors such as Roads, Rail, Renewables, Housing and Pipelines. As a result of Rubicon’s Growth Strategy, a unique opportunity has arisen for an ambitious and experienced Sales Co-ordinator to join us in Ireland to add to our existing Sales team.   This unique opportunity offers career development within a very exciting period of expansion. The successful candidate will be expected to help the Company to achieve ambitious sales targets for Ireland.

Potential candidates will be expected to:
  • Identify sources of information outlining forthcoming large-scale developments including infrastructure, renewable energy, housing etc
  • Target and track relevant developments through the creation and maintenance of a database
  • Identify decision makers within relevant organisations targeting developments (as mentioned above)
  • Assist with the maintenance of social media and maintain a high profile on platforms such as Linkedin
  • Organise meetings between the individuals identified in point 3 (above) and Senior Management
  • Procure relevant opportunities to bid
  • Co-ordinate the submission of bids
  • Become familiar with the processes involved in delivering archaeological assignments
  • Willingness to contribute to the continued growth and expansion of Rubicon Heritage Services Ltd
  • Complete flexibility with regard to travel
  • Liaise with Sales Manager and Directors on Sales and Growth Strategies via an agreed reporting process and attend meetings regarding same
  • Be flexible, driven and innovative with excellent communication skills
  • Be able to manage a range of projects and assist with continued business development
  • Adhere to any guidelines or mentoring instructions provided by Rubicon Heritage and be willing to discuss same with any member of Rubicon’s Management.
 
Key skills and experience

  • Minimum of one year experience in a sales environment
  • Competent user of Microsoft Office packages (particularly Excel and Teams)
  • Customer focused with the ability to clearly communicate and promote the product and service
  • Target driven, sales focused and commercially aware
  • Ability to collaborate as part of a team and also work on own initiative
  • Ability to navigate social media channels (particularly LinkedIn) and be able to extrapolate useable sales data from media campaigns
  • Positive, can-do attitude

A full clean driving license is essential. The position is permanent subject to a six-month probationary period. Salary range €35,000- €40,000 is dependent on experience and is based on a 37.5 hour working week with:

Administration Assistant (based in Midleton, Co. Cork)

Rubicon Heritage Services Ltd is currently looking for an Administration Assistant. All applicants must be willing to support all functions of the Business Support Department. Support includes Office maintenance, Data Entry, Fleet Management, HR support, IT administration, Filing, Quality and Compliance support and Finance reconciliation.
Salary: €25,000 to €28,000 dependent on experience. Contract: Full-time/Fixed Term - 6 months (with a possibility of extension)
Summary of essential job functions:
• Manage incoming calls
• Communicate messages to relevant staff
• Export staff expenses from Project Information Management System
• Reconcile Credit and Fuel Card usage
• Look after incoming/outgoing post
• Oversee hygiene standards at Cork (Midleton) office
• Order stationery and manage stock control of same
• Travel and accommodation arrangements
• Upkeep/ Monitor office machinery and supplies
• Maintain Fleet administration spreadsheet to monitor Motor Tax/CVRT renewals
• Log equipment being signed out to staff members
• Log resource usage into the Environmental Management Program
• Meet and greet clients or other office visitors if required
• Liaise with Business Support Manager/Finance Administrator/IT Manager with regard to mobile phones, PC's, laptops, fuel card provision to staff
• Provide administrative support to all Department heads
• Cover some aspects (as designated) of Business Support Manager/Finance Administrators roles when they are out of office

• Responsible for compliance with the Integrated Management System (IMS)
Minimum requirements:
• Proficient in MS Outlook, Word, Excel, and Access
• Secretarial/Administration qualification
• Experience with Xero Accounts package an advantage but not essential
• Experience of working with a Project Information Management System an advantage but not essential
• Experience of working within the commercial archaeology or construction sectors an advantage but not essential

Graduate trainee role (Cork based) – Archaeological Site Assistant (6 months)

Rubicon Heritage Services would like to offer a fully mentored trainee position to an archaeology graduate wishing to gain commercial experience. This role will offer the successful candidate an opportunity to develop knowledge and skills while gaining practical experience. Rubicon’s ISO/CIfA approved training plan will be personalised to suit the trainee’s current skills and abilities and will identify what skills need to be developed and how to develop them. The trainee will be supported by colleagues and mentors and will be given ample opportunity to discuss progress and identify any tasks that he/she might be struggling with.
A BAJR skills passport will be issued to the trainee and all new skills learned will be signed off on. The skills passport will ensure that all knowledge and experience gained while taking part in the Training Plan is officially documented and signed off by qualified personnel, thus giving the trainee a verified training record that can be taken to any future employer and be relied upon for accuracy.
Skills gained through this training role will include excavation and recording techniques, learning best archaeological practice, working to targets and deadlines, adherence to quality, environmental, health and safety and waste management policies plus general teamwork. The graduate will be introduced to Rubicon’s Integrated Management System and will be inducted to the company's organisation/structure along with its work ethics and culture.
Dependent on project and staff work schedules, post-excavation techniques and methodologies will be included in the training role.

Site Manager and Project Manager

Salary - €46,800 to €51,000 (negotiable - dependent on experience) per annum. Permanent contracts.
Rubicon Heritage Services Ltd is a major archaeological consultancy with offices in both Ireland and the UK.  Rubicon has bases in Cork, Dublin, and Cardiff, is ISO certified in Quality, Environmental, Health & Safety Management Systems , a CIfA Registered Organisation, a Corporate Member of the IAI and is also a Registered Company with the Considerate Constructors Scheme.
We are looking to recruit an ambitious and experienced Archaeological Project Manager plus a licence eligible Site Manager to join our pre-existing team. This opportunity offers rapid career development within an established, experienced, and enthusiastic team.
 
The successful candidate(s) will be expected to be involved in the management of a range of projects and to assist with continued business development. He/She should have demonstrable experience of successfully managing sites/projects from birth to grave and be flexible, driven, and innovative, with excellent communication skills. Support will be provided to the successful applicant in the form of training and mentoring from the experienced Senior Management Team at Rubicon.
 
Potential candidates should be able to demonstrate the following:
  • Experience of all levels of the excavation and post-excavation process
  • Varied archaeological management experience

​Senior Archaeological Consultant 

Salary - €41,500 to €48,600 dependent on experience
Rubicon Heritage Services Ltd is currently recruiting for a Senior Archaeological Consultant with demonstrable experience in heritage consultancy. The role will entail working with our Senior Managers, Project Managers and clients to contribute to a wide range of multi-disciplinary projects across Ireland. As Senior Consultant you will provide expert Cultural Heritage advice to clients and deliver technical reporting from pre-planning assessments, impact assessment and desk-based assessment through to EIAR chapters and the development of sensible mitigation strategies. Projects will vary in size and sector and include housing, commercial, renewables as well as large scale infrastructure projects and frameworks. The full spectrum of design, commission and management programming of archaeological works will be within the remit of the role.
Requirements: A minimum BA/BSc degree is essential for this position with any additional qualification relating to Planning, Environmental Impact Assessment or Built Heritage being highly desirable. An in-depth knowledge of the Heritage Planning sector is crucial along with excellent report writing ability and communication skills. Knowledge or experience in the use of GIS software such as ArcGIS or QGIS will be an advantage. Ambitious, driven, motivated candidates with a desire to succeed should apply only. Full driving licence required.
Responsibilities will include:
• Tender/fee preparation for proposals, setting budgets, and monitoring project progress and finances.
• Compilation of Impact Assessments
• Effective liaison with internal department heads.

• Management of all DBA, AIA and EIAR work from inception to production of a final report

​Archaeological Consultant/Report Writer

Contract: Fixed term, temporary contract.
Duration: 6 months contract with the possibility of extension. Probation period of 3 months
Job Description:
Rubicon Heritage Services Ltd is currently recruiting for an Archaeological Consultant and Report Writer. The role will be to carry out archaeological assessments as part of the consultancy department and assist in report writing for large scale infrastructural projects carried out in the UK. The successful candidate will report to the Consultancy Manager.
Consultancy responsibilities will include preparation and production of DBA reports and EIAR/ES chapters for archaeology and cultural heritage, including some site visits. Any UK report writing work will not require any travel to the UK but will require assisting excavators in compiling and/or editing large testing and excavation reports in tight timescales (full mentoring will be provided but experience or knowledge of UK archaeology is an advantage). Excellent report writing skills are essential and examples of previous work will be requested from all applicants. The position will also involve the carrying out of archaeological tasks and archaeological or historical research as required.
The candidate must be able to work under strict time restrictions, be able to meet deadlines and be able to work as part of a team. Candidates will be appraised on the duration and nature of previous work. Supplementary training will be provided to ensure compatibility with company methodology, but the candidate must have previous experience of carrying out DBA and/or EIAR/ES work from inception to production of a final report. Familiarity with the main archival resources (both physical and virtual) for Irish archaeology, built heritage and cultural heritage is expected. A full clean driving licence is essential. Familiarity with or previous experience using GIS software such as ArcGIS or QGIS will be an advantage. Qualifications and experience in relation to the management and assessment of Built Heritage would also be an advantage.
Hours: The standard hours will be 37.5 hours per week, based on a 7.5 hour working day, Monday to Friday. Home working can be facilitated.
Pay Scale: €38,176 to €39,327 (January start date)

Rubicon Heritage Services Ltd is looking for Archaeologists from Site Assistant to Site Manager levels for work in the Munster area. Pay rates vary from €600 per week to €900 per week (37.5 hour working week) according to level and experience. Accommodation and expenses will be provided where required. Surveying experience, Safe Pass, Manual Handling and CIF Covid induction (https://cif.ie/induction/) are preferable but training can be provided. 
These are Fixed term positions with a duration of 3 - 4 months with a possibility of extension at some levels.
